4 Free Dynamics GP Tools You Should Be Using

The Microsoft Dynamics GP Professional Services Tools Library (PSTL) is a collection of free tools that was made available a few years ago. It includes 37 tools that support specific tasks and can modify one or more master records easily. There are a lot of excellent tools in the free library, but we wanted to share the four we think you should be using.

Doc Date Verify

You’ll find Doc Date Verify in the PSTL under the Misc. Tools section. Once installed, user will be notified when they enter a document date that’s invalid according to Company Fiscal Period setup.

If the document date does not exist within the valid fiscal period setup, a message will pop up for the user that reads “A fiscal period for this date has not been set up.”  If a date is keyed for a closed period, the message will read “You cannot post to a date within a closed period. Do you want to continue?”

Without this feature in place, all it takes is one miskeyed date to post a transaction to 2051, rather than 2015. It can also be a blessing for organizations that hard close fiscal periods. Users can still date the document to the closed period, but they won’t be able to plead ignorance if it causes an issue down the line.

Default AddItem POP/SOP

Default AddItem POP/SOP is under Misc. Tools in the PSTL. It changes the default behavior when dealing with non-inventoried items in the Purchase Order Entry, Receivings Transaction Entry, Purchasing Invoice Entry and Sales Transaction Entry windows.

With this tool installed, when an item number is entered that does not exist within the inventory item list the user is prompted with the question “Do you want to add this item?” The user can still opt not to add the item, but it makes them aware that they’re dealing with a non-inventoried item.

SOP Customer Item Lookup

You can find SOP Customer Item Lookup on the Sales Tools section of the PSTL. This tool will allow you to bring up previous items the Customer has purchased, showing the most recent price.

Once the tool is installed the Customer Item Lookup window will be available from the SOP Entry and the SOP Item Detail windows. You’ll also be able to view additional invoices in the Customer Item Historical data. Trust us, your sales team will thank you for turning this feature on.

RM Transaction Unapply

This is also located in the Sales Tools section of the PSTL. You can use the RM Transaction Unapply tool to unapply documents in the history tables. The Transaction Unapply tool automatically moves the records back to the open tables. Then, you can reapply the records as needed.

Previously you couldn't do any maintenance to a Receivables document in historical status (short of removing it from history and rekeying it back in). This could be a challenge is you had cash receipt in Receivables Management (RM) history and you find out it is a Non-Sufficient Fund (NSF) check that needs to be voided.

These are just a few of the many tools available in the Microsoft Dynamics GP Professional Services Tools and, whether you see value in the ones we listed or not, we encourage you to see what else is available. Just remember, once you install anything in the PSTL, there’s no going back, so talk to your Dynamics GP Partner before you do anything.
