Deploying Microsoft Dynamics GP Web Client with Office 365 Identity and Azure Active Directory - Part 1

Hi! As of late I have been seeing a number of questions on forums about deploying Microsoft Dynamics GP Web Client using Office 365 identity. So I figured I would take a deep dive look into this topic, by providing a bit of background and steps to achieve a successful deployment. What you need to know is, you have a range of options.


Background

Office 365 uses Azure Active Directory (Azure AD) cloud-based user authentication service to manage users. This service provides 3 identity models that can be used to manage user accounts:



Cloud identity. In this scenario, accounts are managed in Office 365 only. All the administration is done in the cloud, requiring no on-premise servers to manage the accounts.



Synchronized identity. In this particular case, your on-premise directory objects are synchronized with Office 365, with the bulk of the administration done from your on-premise server. Passwords can be synchronized such that users have the same password both on-premises and in the cloud. The downside to this approach is, users will need to sign in twice: once to the local domain and yet again to access Office 365.

Federated identity. This identity management model allows you to synchronize your on-premises directory objects with Office 365 and manage your users on-premises. The users have the same password on-premises and in the cloud, and they do not have to sign in again to use Office 365. This is often referred to as single sign-on.

Most organizations will fall within the Synchronized or Federated model, but as more and more organizations move to a pure cloud model, cloud identities are becoming very common.

Why Traditional Invoice Processing Best Practices Aren’t Best Any More

Most companies have well-designed invoice processing procedures that were perfected early in the company’s history. However, the benefits of those traditional invoice processing best practices are far outweighed by the benefits that automated invoice processing is producing.

Traditional Invoice Processing

The best way to make a comparison is to start with a description of how processing invoices usually works now. Certainly, there are variations, but the description below summarizes a traditional process.

  1. Vendors send invoices through the mail. Someone in your mailroom or Accounts Payable department opens the envelopes, removes the invoice, flattens it and stamps a receive date on it.
  2. In Accounts Payable, a clerk takes the stack of invoices and wades through files of purchase orders to find a match for the invoice. If a match isn’t found, the clerk keeps a copy of the invoice and forwards it to the appropriate department head for approval. When the approved invoice is returned to AP, it is put into the stack for data entry.
  3. All matched invoices are entered into the Accounting software or Enterprise Resource Planning system.
  4. Matching invoices are routed to senior management. The senior manager does whatever final checks are required and authorizes the invoices to be included in a check run.
  5. The invoices approved for final payment are included in the list of checks to be printed and then the printed checks are folded, put into envelopes, sealed, stamped and sent to the post office.

What a Difference Automation Can Make!

When you automate invoice processing, the first benefit you’ll notice is a huge time savings. You may not think too much about the first three steps in the process above because they’re so familiar, but consider the time that an automated system can save.

  1. Instead of manually stacking up paper invoices for processing, the invoices would be scanned into an automated system. Information on the invoices would be extracted as necessary to set up the AP process. In the best of all worlds, your vendors would have an automated system as well. This would allow them to just send a digital version of their invoice, which reduces the time to complete this step even further.
  2. Instead of manually matching invoices, the system would instantly match invoices to purchase orders. If an invoice couldn’t be matched, it could be automatically forwarded to the department head for approval.
  3. Data entry wouldn’t be required due to the automation in steps one and two.

Senior management review can always be time-consuming. That manager is usually busy and an intimidating stack of paper invoices to be reviewed can strike fear into the most intrepid of executives. In addition, the manager may well be traveling on a regular basis, which introduces a completely new set of problems.

Automated invoice processing changes everything in step four. The manager would receive the matched invoices electronically, whether they’re in the office or not. The final approval process is fast and streamlined.

Step five had usually remained the same, however, payment automation has now become an important step in the payables cycle. Electronic payments via virtual credit cards, for example, will eliminate the manual labor in step five and save a great deal of money on company resources, paper processing and postage.

The most obvious benefits to automating AP are time savings and all that represents. Here is a list of just some of the other benefits you’ll receive:

  • Reduced requirements for paper storage, thereby reducing or eliminating the need for offsite document storage and rescuing office space.
  • Money saved by taking advantage of early pay discounts and avoiding late payment fees.
  • Increased security that discourages or eliminates fraud.
  • Better reporting and planning capabilities.

Logging in as a Different User

A great tip to help users when they have to switch between logins, whether testing user functionality or working with another user on training, is the Run as different user function. There are many different reasons why you may want to log in as a different user. Your coworker or manager might want to log in from your PC and show you something or make a quick change to something that was posted incorrectly. It's always a best practice to work from your own login when in AX so that the records you touch in the system are tied to your username, but there will always be circumstances where it would be convenient to have another user log in to AX from your specific instance.

A typical installation of AX will have users set up as Active Directory authenticated. This means that when you log in to your work network with your username and password, your AX login will be automatically authenticated. This is great for ease of use and not having to enter your password every time you want to open AX (especially if you accidentally close AX a lot - we all do it!).

Run as Different User


The Run as different user function can be accessed from your AX icon on your desktop. If you right click on the icon, you will see that you are given many different options, including the ability to Run as administrator. That's not exactly what you are looking for, so how do we Run as different user?

This is a hidden functionality as you will have to press Shift + right click at the same time. You will see that the list has now expanded to include Run as different user.

Once you click on that, AX will prompt you to enter the username and password of the user you are logging in as. Just remember, all transactions will be in that user's name.

You can now run AX as a different user or allow another user to log in from your client.

Password Security

It would be irresponsible of me as an IT professional and as someone who sits through security audits annually to not discuss password security as part of this blog. While having the ability to log in as a different user on your client can be a really beneficial tool, please be aware of the dangers of this as well.

Always guard your password. Your password is your key to your company's financial software. Guard it like you would guard the key to your house or car. You wouldn't just hand it over and allow anyone to enter. Treat your access to your company's financials the same way! Anyone who has your password can log in as you and create transactions tied to your user ID. Since they are tied to your user ID, it is highly likely that you would be held responsible for any erroneous or malicious transactions. If you aren't held responsible for the transactions, you could be held responsible for sharing your password. It's not a good practice. Don't do it. Also, always make sure any sessions that you are logged in to on someone else's PC get completely closed before you walk away. This will remove you from the session and when it is reopened on their PC, will be opened with the original Active Directory username that is logged in to the PC.

If someone did somehow obtain your password, change it immediately. You don't have to wait for your company's password policy to kick in and tell you it's time to change your password. This is something you can do as often as you'd like! If your password has been compromised in any way, the best practice would be for you to change it immediately.

You don't have to wait for this reminder to change your password! Change it as often as you feel necessary.

Another thing to remember is to always lock your screen. When you walk away from your computer, lock it! Because AX uses Active Directory authentication, it would be simple for someone to walk up to your computer, sit down and have immediate access to everything you have access to in AX. It's as easy as Ctrl + Alt + Del followed by Enter or Windows key + l to lock your PC. Another option would be to have your screen set to automatically lock after a minute of inactivity. Protect yourself! It's a good habit to get into.
