New To-Increase tutorial: Understanding and working with staging tables in Connectivity Studio for Microsoft Dynamics AX

In To-Increase Connectivity Studio , one of our Business Integration Solutions , different staging tables or journals are available, for instance, for sales and purchasing. To begin with, we take a look at the sales journal and what it helps you accomplish when you work on different integration or EDI scenarios. Then, we show you how to create your own staging journal or table. We use a typical process where you import an XML file into a bill-of-material (BOM) staging area, and then import approved BOMs into Dynamics AX. First, you create a journal, and then the required messages. Step by step, with lots of screen images, we go through the creation of the journal. When we get to journal validations, we also provide the commands and code you need to enter. Then we take you through a simple way to implement the validations on the journal and adding validation buttons to your form. After adding a validation for the active company, you can add messages. Building message imports requires certain connectors, as you will see. In Connectivity Studio, we make this very easy. Next, you create the required XML documents. After that, you create the message to import the XML file into the staging journal. You create an easy mapping, run the import, and your journal is populated with data. There is an error in the journal, but, no worries! It is easily corrected. In the next step, you create the message to create the BOM, using approved journals. You fix another typical error, update the message to fit with the business logic in Dynamics AX, and voilà—you can create your BOM and add it to an item. Tips: How To Hide The Out of The Box CRM Reports From the End Users

Dynamics CRM out of the box has plenty of built in reports, however these reports might or might not relevant to the business of the user. So to avoid complexity for the end user, we want to make sure that only relevant reports from the out of the box reports to be made available to the user.

The TL;DR; answer is: make the report as personal report.

Now with the details, first of all we need to make sure the end user only have User level privilege on Read Report privilege.Report_Privilege

Then on the report record, navigate to Actions> and click on Revert to Personal Report

Revert_to_Personal_Report

And if required, you could assign the record to your admin so he/she could manage the report by sharing this to the other users in case they need it.

Note: Personal reports are not solution aware, so you could not add these report in your solution. In case you need to revert the reports on the other environment, yes, it is a tedious work to apply them one by one.

Crystal Hill on accessing various companies in a NAV 2013 Development Environment:

Yesterday I was asked to find out why a user could not access other companies in a NAV 2013 Development environment. In most cases, if you open the RTC environment and then try to open the table from the development environment, your table will open in the company you are running in RTC. In some cases, however, this is not happening and the company defaults to the same company every time, opening in a new window.

Here is the fix:
Go to Tools-Options in the development environment under the user login having this problem, then Delete the company name from the Company Name Field.

Michael Heydasch on “Transaction does not exist” error:

If you get this error: "Transaction does not exist", then delete the so-called "zombie" records according to filters:

The above code is found in Codeunit 14083209. This error typically occurs when a NAV Production database is restored to a NAV Test database, and the STO database does not accompany this effort. Basically, the transaction IDs are out-of-sync.

Dynamics CRM App for Outlook

Dynamics CRM App for Outlook is a lightweight Office app that you can use together with Outlook 2013 or Outlook Web App (included with Office 365). You can use the app to track incoming email in Microsoft Dynamics CRM. When you track an email message, a copy of that message is stored as an email activity record in Microsoft Dynamics CRM. You or anyone with access to your CRM activities can then access that activity record in CRM, Dynamics CRM App for Outlook, Dynamics CRM for Outlook, or in the CRM mobile apps.

Microsoft Preview features:

  1. Are not supported by Microsoft Support.
  2. Are available on a “preview” basis so customers can get early access and provide feedback.
  3. May have limited or restricted functionality.
  4. Aren’t meant for production use.
  5. May be available only in selected geographic areas.

Prerequisites for installing and using CRM App for Outlook

Your CRM system administrator must deploy Dynamics CRM App for Outlook to your organization before you can access it. To deploy Dynamics CRM App for Outlook:

  1. Your organization must use CRM Online, and Dynamics CRM 2015 Update 1 must be installed.
  2. Your organization must use Exchange Online for email processing.
  3. Your organization must synchronize email through server-side synchronization.
  4. The system administrator must set up specific security roles.
  5. The system administrator must enable the Dynamics CRM App for Outlook Preview feature.
  6. The system administrator must add Dynamics CRM App for Outlook to your Exchange Online service.

Supported browsers

You can use Dynamics CRM App for Outlook with Outlook Web App on the following browsers:

  1. Internet Explorer 10 or Internet Explorer 11
  2. Google Chrome version 41 or later

With Dynamics CRM App for Outlook, you can:

  1. Tap the power of CRM while working in the familiar Outlook environment.
  2. Track incoming email wherever you are, as long as you have access to a browser.
  3. Track an incoming email message and (optionally) link it to an existing record in CRM. For example, you might want to link an email message to a specific account or opportunity. If a record doesn’t exist, you can create it right from within the app!
  4. Find out whether an email message is already tracked, and change the regarding record (the CRM record that the message is linked to).
  5. Create CRM contact or lead records for people on the From list that aren’t already included in the CRM database. You can also create new CRM records for any entity (record type), as long as the entity has been enabled for mobile and for multi-entity search.
  6. Preview information about contacts and leads stored in CRM. For example, you can find a number or company name for a contact or lead, or preview the last and next activities for a contact or lead.
  7. Open CRM records directly to find or enter more detailed information.

Enable the Dynamics CRM App for Outlook Preview feature

To enable the Dynamics CRM App for Outlook Preview feature:

  1. Go to Settings > Administration.
  2. Choose System Settings.
  3. Choose the Previews
  4. Select checkbox on the read and agree to license terms.
  5. Choose Yes to enable the Microsoft Dynamics CRM App for Outlook Preview.
  6. Click Ok.

Set the CRM App for Outlook privilege for a security role

  1. Go to Settings > Security.  Choose Security Roles. Select the security role (for example, Salesperson), and then choose the Business Management

Verify that Use CRM for Office Apps is set to Organization. If not, choose Use CRM for Office Apps.

  1. Choose Save and Close to save the changes to the security role.

Deploy CRM App for Outlook

You can use the Exchange admin center to quickly and easily deploy Dynamics CRM App for Outlook to your users.

  1. Sign in to the Office 365 admin center.
  2. On the left-side menu, under Admin, choose Exchange.
  3. On the Exchange admin center page, under organization, choose apps.
  4. Choose (+) > Add from the Office Store.
  5. Search for and add the Microsoft Dynamics CRM for Outlook app.

  • Once the app is installed, refresh the list, select the app, and then choose Edit.
  • Choose how you want to deploy Dynamics CRM App for Outlook to your users.

  • Choose Save to enable the app for your organization.

Accessing Dynamics CRM App for Outlook after it’s been deployed

Once the system administrator installs and enables the Dynamics CRM App for Outlook, the app appears as a Dynamics CRM tab in the Outlook reading pane. Just choose the tab to access your CRM data.

Track an incoming email message from an unknown sender

  1. Select the email message in your Inbox, and then choose the Dynamics CRM
    When an email message is from an unknown sender (the sender isn’t already a contact or lead in CRM), you’ll see the Create Contact form.
    The First NameLast Name, and Email fields are already filled in for you. The Phone Number field will be filled in if it’s available.
  2. Click Save post filling the required info or choose Save and edit in CRM to open the contact form in crm. The sections Next Activity, Last Activity, Case Associated View and Opportunity Associated View are empty because the contact doesn’t have any related records in CRM yet.Unknown Sender

  3. Similarly one can also create for any entity (record type), as long as the entity has been enabled for mobile and for multi-entity search just like the contact/lead record using the Dynamics CRM tab and link the email message to that record.
    To create a new record in CRM (for example, to create a lead record instead of a contact record) and link it to the email activity record:

  7. In the quick create form, fill out the fields.
  8. Choose Save to save the record if you’re done adding information. To enter more detailed information, choose Edit to edit the record in CRM.
  9. A contact with the email id details is created in CRM by the system by default.

  1. There are 2 ways to track an incoming email in CRM using Dynamics CRM App.
    • If you don’t want to link the email message to an existing CRM record, choose “Or track without setting a regarding record”.
    • To link the email message to an existing record in CRM, in the search box, enter a keyword (for example, a company name), choose Lookup, and then select one of the records in the resulting list.

     

     

    When you select a record, the record appears next to “To be tracked regarding”. To open the record in CRM, choose the link.

     

    Preview information about a sender that’s already stored in CRM as a lead or contact

    • Select the email message in your Inbox, and then choose the Dynamics CRM

    The information you’ll see includes:

    • Contact information about the person (lead or contact) the email message is from
    • Next and last activities
    • Other related records, which include records from lists on the associated entity’s main form

    Change the regarding record for a tracked email message

    1. Open the email message, and then choose the Dynamics CRM
    2. Choose Change.

     

    1. Do one of the following:
      • To select a different CRM record, enter a keyword (for example, a company name) in the search box, choose Lookup, and then select a record from the results list.
      • To create a new record in CRM and link it to the email activity record:
        1. Choose New next to any enabled entity.
        2. In the quick create form, fill out the fields.
        3. Choose Save to save the record if you’re done adding information. To enter more detailed information, choose Save and edit in CRM.

    To untrack an email message

    • To untrack an incoming email using Dynamics CRM App, Click on untrack.
    • After clicking Untrack you can see 2 options for Untracking:
      1. Yes, delete it: Clicking this will untrack and delete the email from crm.

     

    1. No, only stop tracking: Click this untrack the email in crm.

     

    Open a CRM record from CRM App for Outlook**

    You can open CRM forms directly for contacts and other records. To open CRM records, choose any of the following links:

    • The name of the lead or contact
    • The Pop Out button
    • The name of the regarding record (once the email has been tracked)
    • Any record or activity tile

    ** Feature not available in IE 11.

Using Business Rules to Clear Cell Values

Microsoft Dynamics CRM Online 2015’s Update 1 includes a new enhancement for Business Rules! With this new enhancement, the action “Set field value” now allows users to clear existing values. Previously, clearing the value of a field required custom JavaScript, but now it is out-of-the-box! In today’s blog we will delve into this latest enhancement in more detail. Let’s get started!

Business Rules provide a great way to achieve the most common and simple validations without requiring custom development. For additional information about Business Rules, you can check out our blog titled Become a Pseudo-Developer with Business Rules in CRM 2013

The screen shot below illustrates where to find the “Clear values” functionality. From within Business Rules in CRM, first select “Set field value”.

For example, given a set of Conditions, the Action will be to clear the value of the Opportunity Discount (%) field. The Business Rule conditions are as follows:

If the field “Purchase Timeframe” does not contain data or equals either “This Year” or “Unknown” or the Budget field equals “No Committed Budget”, the action will clear the value of the Opportunity Discount (%).

The screen shot below illustrates the Business Rule as described above. You will notice that in the Action box, “Set field value” has been selected. The field has been set to “Opportunity Discount (%)” and the “Type” presents you with a drop-down menu that now includes a “Clear” option.

Remember to Save and Activate in order to test the Business Rule. And that’s all it takes. It really is that simple! Please note that this enhancement will work for all data types.

Using software tools to work with suppliers

Manufacturers need production materials to keep distribution on schedule. Partnering with a proper supplier is a necessity for a business of any size. When it comes to maintaining that business relationship, ERP systems like Microsoft Dynamics NAV can aid in supply planning performance.

Define terms Companies should research prospective suppliers and meet with them in person before doing business. Info Entrepreneurs suggested schedules, shipment sizes, delivery procedures, sale forecasts, service standards and dispute resolution strategies should all be discussed when agreeing upon a service contract with a vendor.

Manufacturers that audit their own operations before approaching suppliers know exactly what timeframes, demands and finances are available. Microsoft Dynamics NAV utilizes data from sales, production, inventory and management to create a complete history of company procedures. An accurate picture of operations indicates where supplier services are needed and how the entire company can best work with partners.

Every time there is a major change in agreed upon terms, a meeting has to take place. If a manufacturer sees an uptick in consumer demand and wants to change order procedures or schedules, the entire contract is in need of reexamination. 

Keep communication open Minor changes are communicated by a consistent flow of information between two companies. The supplier and the manufacturer have to work off the same sets of data.

Manufacturers can dictate a supplier's access to Microsoft Dynamic NAV materials based on needs and trust. Partners can view data from the system as an information supply or they can be given user access.

Automate tasks By working with a centralized database platform, a manufacturer can eliminate redundant steps in operations. Streamlined communications between a company and its partners speeds up response time and encourages the use of automated tasks.

Microsoft Dynamics NAV provides warnings for users when reported inventory is too low. Invoice orders for new materials are automatically created based on criteria dictated by the manufacturer. It is important automated tasks are designed based on the needs of all participants in the supply chain.

Some companies may fear giving too much power to automated tasks. Automating one particular function at a time and measuring performance on the system allows manufacturers to slowly implement solutions without taking too many risks.

Check supplies instantly No matter how good the working relationship between two companies is, mistakes are going to happen. It is important supply delivery problems are detected instantly so as not to create manufacturing issues in the future.

Modern Material Handling advised receivables to check orders for quality, quantity and timing as soon as they arrive on the dock. All the information must be reported instantly and collected to the central information source. Microsoft Dynamics NAV add-ons like barcoding or mobile inventory improve the speed and accuracy of shipping and receiving operations.

If there is a consistent problem, hard data allows manufacturers to approach suppliers with facts rather than unfounded accusations. Real-time reporting and a complete shipment history facilitate honest communication between business partners.

CRM Online Spring 2015 – Alternate Keys

With the release of CRM Online Spring 2015 Update, Microsoft delivered the ability to define alternate keys for an entity.  Alternate keys can be one or many attributes that are a unique combination of columns to uniquely identify a record instead of using the typical primary key.  Alternate keys can be made up from a combination of decimal, integer or string attributes.

Lets dig into how the new alternate keys can work in CRM based on a real-world scenario.

In my example we have an entity for States and our Contact entity has a Lookup to the State entity.  The State entity has an attribute called Code where it will store the unique two character abbreviation for the State such as IL for Illinois.  There is an integration with another system where Contacts will be passed to Dynamics along with the two character abbreviation for State.  Alternate keys work perfectly in this scenario as we can just associate the State record to the Contact record by using the State’s Code instead of needing to query to find it’s GUID.

In order to accomplish this, we first need to go to the customizations for the State entity.  Underneath the entity is a new link for Keys.

Click New which will open a dialog and let you pick one or more keys that will make up a unique combination to identify a record.  We will select Code as a Key for our State entity.

Now with the SDK when updating a Contact record, in order the set a Lookup value we would need to use the EntityReference object and provide a GUID to a State record but with the latest Spring Update and the latest SDK, we can instead pass in a value for the Code attribute like shown in the snippet below.


Therefore if our integration sends us a Code for the Contact’s State such as “IL”, we can just update our Contact record using the “IL” value and avoid needing to do a query against the State entity to find the GUID for the IL State record.

One last thing to point out about alternate keys is that CRM will put a constraint on the entity to make sure the new alternate keys make up a unique identifier for the entity.  If you try creating a record with a duplicate set of alternate keys, you will see an error similar to the one shown below.

Workflow: Failed to create a session; confirm that the user has the proper privileges to log on to Microsoft Dynamics.

On AX2012 FP the vendor invoice line workflow was throwing the following error which caused the workflow to stop:

Failed to create a session; confirm that the user has the proper privileges to log on to Microsoft Dynamics.

I couldn’t really figure out what was wrong, but the internet said “do a full compile and full CIL”. So I did, it didn’t help.
My colleague had a blog post about this error but that was about partitions and these are only available on R2 and R3, not on Feature Pack, so that was no help either.

After some debugging, it was clear that the error was thrown when the runAs function was executed. So I created a class and put the following method in it to test which users could not execute the runas function successfully. In this example I use the SysWorkflowDocument::assertAsUser method but it is better to create your own empty static method to test with. Remember that you have to perform an incremental CIL compilation after you have created a new static method to use in the runAs function.

This gave me a list of all users that were causing problems. Everything seemed fine with these users, so I decided to check if the SID in the UserInfo.sid field matches those on the domain for those users. I didn’t. Most likely these users were deleted on the domain and recreated with the same username, but a different SID. After the users were deleted in AX and the imported again, the error disappeared.

By the way, you can retrieve the SID of a domain user using Windows PowerShell with this command:
